Imagine a productivity app with free templates, team collaboration, mobile tablet/desktop synergy, and push notifications for task reminders and due dates. It sounds like a unicorn, but it’s not – it’s Milanote, and if you’re not using it, you should be.


Great free productivity templates

Productivity experts run into a common problem with finding the right productivity app: paid templates. Of course, templates usually don’t cost that much, but you usually don’t know if a template will work for you until you spend some time with it.

So you buy one, try it, hate it a little, and then buy another. After twenty or thirty dollars, you may still not have a template you like, and you could have used that money to go out to eat or get a great deal on some new clothes.

Milanote wins here. The productivity templates in the app are all free and bonafide templates that include the Eisenhower Matrix and Kanban Board.


From your Milanote Homeyou can right-click anywhere to add a New board. Double-click on the new board and you’ll see a text box in the lower right corner of the screen Select a templatewhere you can start browsing the template options. Click on More templates.

You can download Milanote to your devices from your preferred app store or the Milanote website.

When you find Productivity Template options, you’ll see that there are only five, but don’t panic. Because Milanote is completely customizable, any of the 100+ free templates can be customized to suit your needs.

I’m a stickler for the Eisenhower Matrix (EM) so I was pumped to find a ready-to-use EM template, but you can see below that I’ve modified my board to include my current freelance to-do list to keep track of my work life in one comfortable space.

Scheduled tasks, reminders and assignments

Milanote comes with to-do lists where you can create and schedule tasks, similar to other task management apps. When you add a task to a Tasks tab in Milanote, you have several options – you can set a due date, schedule a reminder, and you can assign this task to any person you’ve added to the board.

If you run a small creative team or maybe just use Milanote to keep your work and personal life in one place like I do, these options give you a lot of flexibility to keep up with everything. Having a mobile app for Milanote is key here, so scheduled reminders will ping your push notifications when you’re not on your desktop.

Quickly add tasks or notes on mobile

Speaking of mobile, you can add Quick notes directly from your device so that you can later organize them on your desktop in the Quick Notes tab in the upper right corner of the Milanote window. You can also access all your boards directly from your device, but you’ll lose the visual layout benefits you get on your desktop.

Drawing on Milanote

If you have a tablet, Milanote will be a lot of fun. The app lets you doodle anywhere using the Draw tool, giving tablet users a distinct advantage over desktop users.
